Summer months: June, July, and August:

Collect Confirmation #’s for the fall teams in your association. Remember online registration for USAH begins April 1st

Collect Birth certificates for members not verified in the system. Turn these into the USAH registrar for validation in a timely fashion.

July – USAH releases next season Portal Registry by early July

Begin claiming participants, coaches, staff and volunteers to the program

August – create rosters for teams that have all their confirmation #’s. This is critical for midget teams in NY.  Submit rosters for approval by the USAH Registrar.  

Continue to communicate with teams for data, confirmation #’s and coaching/staff information

Request Certificate of Insurance if needed

If hosting a Tournament Complete the Online sanctioning request form on the NYRegistrar website http://form.jotform.us/form/52297667588173

Create a CEP coaching report for your ACE coordinator detailing the coaches in the program and their level and module.

Communicate with coaches, staff and volunteers on screening, SafeSport training, coaching education program and module completion.  Those without screening and SafeSport should not be p laced on any roster. 

Contact the district registrar with any players that are non-citizens{these participants cannot be placed on rosters until approved}

September – continue creating and modifying team rosters and working with your ace director on coaching requirements and gathering the proper data and information for the NY district.

Determine if travel permits are needed for any teams going to Canada.   

October - Screening and SafeSport form is due to the NY district by 10/15 form is on the NY district website www.nysaha.com

Work on house league rosters and any changes to the travel team rosters

November - ADM Form is due by 11/1 here is the link:  http://secure.jotform.us/form/52301199505148

December – Final rosters are due by 12/31 for all state and national bound teams

Final day to declare state or national bound or withdraw intent 

January – Create CVS and team history for all state and national bound teams and email the team manager with this information to include in their credential book.

February – Credential books are due to the section representatives for review and approval

March – NY District Championship tournaments various weekends throughout March

Tryouts for younger age groups

Boys Player development tryouts 14 and 15 yr. old

April - nationals {sometimes these run from late March into April}

Tryouts for older age groups

Begin online registration and collecting confirmation #’s for the upcoming season

Have all participants complete the code of conduct and consent to treat forms

Completion of any commitment forms

Create spring rosters

Girls’ player development tryouts

May – Create Summer rosters
